What was the challenge?

Businesses spend hours browsing sites like SAM.gov or Indy.gov just to find relevant contracts. By the time they evaluate and prepare proposals, deadlines pass, or they apply for poor-fit projects out of pressure.

Goal: Help businesses discover the right opportunities faster without overwhelming them with AI complexity.

Speed: Reduce time spent searching for projects
Fit: Match opportunities to a company’s actual capabilities
Assist: Auto-generate proposal drafts to kick-start submissions

Understanding the process

We started with in-depth conversations with stakeholders who regularly submit proposals.
From these sessions, I mapped the manual flow and defined four stages to digitize:

Capture business profile
Collect RFP data
Process with AI
Deliver best-fit recommendations

My approach

After breaking down the workflow, I drafted early wireframes to explore the structure.
We refined those drafts through feedback loops, focusing on clarity, simplicity, and testability. To reach MVP fast, I worked with a product leader to simplify visuals — fewer gradients, lighter palette — and make AI invisible within a clean dashboard interface.

Feedback and Iteration

Stakeholders loved the structure but asked for:

A simpler, age-friendly layout
Only light + dark modes for MVP
Focus on functionality before full-scale visuals

These refinements let us test early and validate value quickly.

Impact

Improved the proposal-search experience by introducing a simplified 4-step workflow, reducing cognitive load and enabling the team to ship the MVP faster. Early stakeholder tests showed clearer understanding of project matches and higher confidence in AI-generated draft proposals.
